Prepare for new Calendly bookings with HubSpot context

Sales, CRM & outreach · checked 2026-10-18

Each morning, Claude lists today's Calendly bookings through Calendly's MCP server, looks up each invitee in HubSpot through HubSpot's remote MCP server, and drafts a short prep note. You check it before the call.

Goal

Walk into sales and onboarding calls knowing who booked and what has happened with them before.

Connects through: MCP

Steps

  1. Calendly

Returns today's scheduled events and invitee details through the Calendly MCP server

    MCPConfirmedSource ↗
  2. HubSpot

Returns the matching contact, company and open deals through HubSpot's remote MCP server, within your HubSpot permissions

    MCPConfirmedSource ↗
  3. Claude

Drafts a 5-line prep note per meeting and marks invitees with no CRM match

    AI platformConfirmed
  4. You

Read the notes before each call and correct anything wrong in HubSpot yourself

    Human stepConfirmed

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

Notes are for you. Nothing is written to HubSpot or sent to invitees.

Watch out for

HubSpot's MCP server blocks activities and conversations when Sensitive Data is turned on, so notes may miss recent emails or calls. CRM records aren't a full history either. Don't quote anything from a note to the invitee without checking it.

Starter prompt

Using the Calendly MCP server, list my meetings for today with invitee names and emails. For each invitee, look up the contact in HubSpot by email and summarize the company, lifecycle stage and any open deals in no more than 5 lines. If there's no match, say so. Don't update HubSpot or contact anyone.

Readiness considers the connection evidence and unresolved steps. Confirmed: documented access and the proposed steps meet the recorded requirements. MCP and API pairings require an explicit reviewed platform note; a named plugin or CLI alone does not confirm MCP. Inferred: an explicit page note describes a plausible pairing that still needs testing. To verify: a connection or step is unresolved. An API and code execution alone do not establish compatible network access, credentials or permissions. None of this is IonBin testing.

What we checked (2026-10-18)

  • Calendly MCP server. The hosted server at mcp.calendly.com uses OAuth 2.1 with PKCE. Its tools map to Calendly API v2 and are annotated as read-only or destructive.
  • HubSpot remote MCP server. HubSpot documents OAuth with PKCE and access that follows the signed-in user’s permissions. Read access covers contacts, companies, deals and other CRM records. With Sensitive Data on, activities and conversations are blocked through the MCP server.

Set it up

  1. Connect both servers in Claude with your own accounts.
  2. Run the prompt above each morning, or before your first call.
  3. Fix wrong matches, such as personal email addresses, in HubSpot yourself.
  4. Keep the notes private. They may mention deal values the invitee shouldn’t see.

Pilot it on a small sample first, and keep the human step even when the output looks right. This is a proposed sequence based on documented tools, not a tested account integration.
