Draft policies from approved practice

HR & payroll administration · SOPs & process documentation · checked 2026-10-18

Turn approved source instructions into a reviewable policy draft, with conflicts and unanswered questions kept visible for the responsible HR or legal reviewer.

Goal

A source-linked draft and an explicit list of unresolved decisions.

Not advice

IonBin provides general information and software comparisons, not tax, legal, accounting or financial advice. Tax and legal rules vary by situation and jurisdiction; consult a qualified professional (CPA, enrolled agent or attorney) before acting.

AI tools can make mistakes. Verify every figure against the original documents and official IRS or state guidance before filing or signing.

Redact Social Security numbers, account numbers and EINs before uploading documents to any AI assistant, and check its data-retention settings. Upload originals only to the filing or signing software.

Requirements vary by state. File through official sources such as the USPTO trademark search and your state’s Secretary of State site.

Steps

  1. Owner

Select current approved instructions and remove unnecessary personal data.

    Human stepConfirmed
  2. Assistant

Draft the policy and flag conflicts without deciding them.

    AI platformConfirmed
  3. Reviewer

Approve the wording and effective date before publication.

    Human stepConfirmed

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

A responsible person checks the source evidence and approves the output before it is used or shared.

Watch out for

Observed practice may be outdated, unauthorized or unlawful.

Starter prompt

Draft from these approved instructions only. Cite sources, flag conflicts and list decisions for the reviewer. Do not invent employment terms.

Which AI platforms can run it

PlatformStatusWhy
Claude (incl. Claude Code) Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
OpenAI Codex Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
Google Antigravity Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
ChatGPT Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
Gemini Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
Perplexity Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.

Readiness considers the connection evidence and unresolved steps. Confirmed: documented access and the proposed steps meet the recorded requirements. MCP and API pairings require an explicit reviewed platform note; a named plugin or CLI alone does not confirm MCP. Inferred: an explicit page note describes a plausible pairing that still needs testing. To verify: a connection or step is unresolved. An API and code execution alone do not establish compatible network access, credentials or permissions. None of this is IonBin testing.

Select the source material

Choose one policy area and identify the person responsible for it. Gather the currently approved instructions, applicable locations and effective dates. Remove personnel details that are unnecessary for explaining the policy. A description of what people happen to do is evidence for discussion, not proof that the practice is authorized or lawful.

Make uncertainty visible

Ask an assistant to draft a policy from the supplied material and cite the source behind each substantive rule. Keep conflicting instructions in a separate decision list. Do not let the assistant silently choose the newest-looking document, invent a benefit or turn a manager’s informal habit into an entitlement. State the intended audience and the situations the draft does not cover.

Approve and maintain

The policy owner and any required HR or legal reviewer resolve the questions, check jurisdiction and approve the effective date. Publish only the accepted version in the controlled library. Retain the prior version and the reason for the change. Test the draft against a few realistic scenarios before release, including an exception that must be referred to a person. This workflow creates a document draft; it does not authorize payroll changes or employment decisions.
