Turn a PDF folder into checked, source-linked Markdown

Document & knowledge preparation · SOPs & process documentation · checked 2026-10-18

Convert a small document sample with Docling, keep structured JSON beside Markdown, verify page references and queue uncertain passages for review. Expand to the folder only after the sample passes; publish the corrected text with its source and review record.

Goal

Prepare a reusable document collection with checked content and traceable sources.

Steps

  1. You

Choose representative files and confirm the permitted processing environment.

    Human stepConfirmed
  2. Docling

Converts local file or directory inputs; retain Markdown and structured output.

  3. You

Inspect original pages and available provenance; record uncertain text and tables in a review queue.

    Human stepConfirmed
  4. Reviewer

Corrects important names, numbers, tables and omissions against the original, and records the decision.

    Human stepConfirmed
  5. You

Commit approved text with source references and access restrictions; verify those references after export.

    Human stepConfirmed

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

A reviewer checks the source and approves the corrected text before it is used in a knowledge collection.

Watch out for

Markdown export is not proof that every source page or table survived. Keep the originals and structured output for comparison.

Starter prompt

Review this converted document and its available source metadata. List suspect names, numbers, tables and missing sections with real source references. If a page reference or confidence field is missing, say so instead of inventing one.

Which AI platforms can run it

PlatformStatusWhy
Claude (incl. Claude Code) To verify Docling: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
OpenAI Codex To verify Docling: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
Google Antigravity To verify Docling: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
ChatGPT To verify Docling: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
Gemini To verify Docling: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
Perplexity To verify Docling: verify the API caller, network access and credentials; platform code execution alone does not establish this connection

Readiness considers the connection evidence and unresolved steps. Confirmed: documented access and the proposed steps meet the recorded requirements. MCP and API pairings require an explicit reviewed platform note; a named plugin or CLI alone does not confirm MCP. Inferred: an explicit page note describes a plausible pairing that still needs testing. To verify: a connection or step is unresolved. An API and code execution alone do not establish compatible network access, credentials or permissions. None of this is IonBin testing.

What we checked

Docling’s CLI accepts local files and directories. Its structured document representation supports provenance and layout information when available. Confidence information is exposed on the conversion result; do not assume it appears in a Markdown export. The documentation currently marks table confidence scoring as not implemented, so it cannot replace table review.

This is a proposed implementation, not a hands-on conversion result.

Set it up

  1. Choose a sample that includes the collection’s real problems: scans, columns, tables and unusual fonts. Record what a successful conversion must preserve.
  2. Configure the processing location and OCR settings. Local pipelines and remote model services are different deployment choices.
  3. Keep original files, structured output, readable text and conversion metadata together. Verify how each output maps back to a page; add reviewed references when needed.
  4. Put uncertain items in a register with source, location, owner and decision. Notion is one option; a local spreadsheet is enough to begin.
  5. Correct the text against the original and record approval. Store the approved version in the intended repository with the source’s access restrictions.
  6. Check retrieval on representative questions before expanding the archive.

Do not silently replace old derived text when a source changes. Keep version history and identify which downstream passages need a new review.

Before relying on this workflow

The steps above are documentation-reviewed. Complete these checks in your own environment before treating the implementation as tested:

  • Run sample conversions and measure omissions, important-field accuracy and page-reference retention.
  • Confirm the chosen OCR pipeline, language settings and hardware are suitable for the document collection.
  • Verify the actual review-register and repository permissions before automating handoffs.
