Data provenance

Verified Oct 18, 2026 Review by Apr 16, 2027 2 sources
Short answer

Data provenance records where information came from and how it changed: the original source, extraction or editing steps and review decisions. For a knowledge collection, retain useful page or timestamp references and permissions. A traceable source can still be wrong or outdated.

What it is

Provenance is the record that lets someone trace a derived statement back through its sources and transformations. W3C’s PROV family describes entities, activities and responsible agents. A practical business collection can start with a simpler register while retaining the same questions: where did this come from, what happened to it, and who reviewed it?

How it works

IonBin recommends giving each source a stable identifier and version. Retain the original location, relevant page or timestamp, processing method, corrections and reviewer decision. Record access restrictions alongside the content.

Carry those fields through splitting, summarization and export. Docling’s structured representation supports provenance and available layout information; inspect the actual result rather than assuming a readable export carries every field.

When a source changes, use the record to identify derived text that needs review. Test a sample of citations by opening the source and locating the supporting passage.

Benefits

Reviewers can investigate errors and update dependent material. Users can distinguish a source-backed passage from an uncited inference.

Limits and risks

A working citation does not establish truth, currency or permission to share. Links can break, page numbering can change and transformations can drop metadata. Keep the source version and a usable retrieval path; protect confidential originals and derived material according to their access requirements.
