Meeting notetakers

Short answer

Meeting notetakers join or record your calls, transcribe them, and produce summaries and action items. The business value is searchable call history that feeds your CRM, SOPs and weekly reporting. Get consent to record and decide where transcripts may be stored before you roll one out.

What it is

A meeting notetaker is an app that records a video or phone call, turns speech into text, and uses a language model to summarize decisions and next steps. Most connect to calendars so they can join scheduled meetings automatically.

How it works

  1. Connect your calendar so the notetaker knows which meetings to join or record.
  2. After the call, it transcribes the audio, labels speakers and writes a summary with action items.
  3. Summaries and transcripts can be pushed to other tools, such as a CRM or a docs workspace, or read by an AI agent through an MCP server where one exists. Fireflies documents one at api.fireflies.ai/mcp.

Entry prices (checked 2026-10-17). Fireflies has a Free plan with 400 minutes of storage per team, then Pro at $10, Business at $19 ($29 monthly) and Enterprise at $39 per seat a month billed annually. Custom retention is listed on Enterprise. IonBin’s catalog also includes Otter and Granola. Granola takes notes from your computer’s audio, so no bot joins the call, and its MCP server lets AI assistants search your meetings. Its free Basic plan keeps 30 days of history; Business is $14 per user a month.

Benefits

  • No one has to take notes, so everyone can take part in the call.
  • Searchable call history becomes raw material for SOPs and sales call reviews.
  • Action items get written down consistently.

Limits and risks

  • Recording laws differ by location, and some require every participant’s consent. Announce recording and get consent.
  • Transcripts can contain sensitive client data. Check retention settings and who can see recordings.
  • Summaries can miss nuance or misattribute speakers; skim before you send them to clients.
  • Plan names, prices and feature limits change often. This category page re-checks every 90 days; each tool page carries its own review date.
