Docs and knowledge workspaces

Verified Oct 17, 2026 Review by Jan 15, 2027 5 sources
Short answer

Docs and knowledge workspaces hold your SOPs, plans, meeting notes and wikis. Notion and Google Workspace are the examples here. In an AI stack they are the context store that assistants and agents read, so structure and permissions matter as much as content.

What it is

A docs workspace is where a team writes and organizes shared documents. Notion combines pages and databases; Google Workspace combines Docs, Sheets, Drive and Gmail. Both add AI features and agent access.

How it works

  1. Organize documents by area, with owners and review dates.
  2. Use built-in AI to search, summarize and draft.
  3. Connect assistants and agents through official MCP servers or connectors so they can read, and where allowed write, documents.

Checked 2026-10-17. Notion hosts a remote MCP server (OAuth) that can read and update anything the signed-in user can access. Google’s Workspace MCP servers cover Gmail, Drive, Docs, Sheets, Calendar and more, and are in Developer Preview. Notion lists Plus at $10 and Business at $20 per member a month, with up to 20% off yearly; its Custom Agents cost $10 per 1,000 Notion credits after a trial.

Benefits

  • A single source of truth for how the business runs.
  • Better context makes every AI answer better (see company context store).
  • Permissions you already set carry over to connected tools.

Limits and risks

  • Outdated pages mislead both people and AI. Assign owners and review dates.
  • Broad agent permissions can expose sensitive documents. An MCP connection inherits everything the signed-in user can see.
  • AI add-on pricing differs from base plans.
  • Plan names, prices and feature limits change often. This category page re-checks every 90 days; each tool page carries its own review date.
