Qualify and route inbound leads

Verified Oct 16, 2026 Review by Apr 14, 2027 5 sources
Short answer

Use AI to read each new form fill or inbound email, enrich it with company data, score it against your ideal customer profile, and route it to the right person or sequence within minutes. Keep the scoring rules visible and review a sample weekly so good leads don't get filtered out.

What it is

Inbound leads arrive through forms, chat and email. The job is to respond quickly to the best ones and handle the rest efficiently, without a person reading every submission first.

How it works

  1. Trigger on each new lead with a webhook or CRM event.
  2. Enrich with company size, industry and role from a prospect data tool.
  3. Score with rules where you can. HubSpot’s lead scoring tool, on Marketing Hub or Sales Hub Professional and Enterprise, builds fit, engagement and combined scores from record properties and actions. Those scores can feed segments, workflows and reports.
  4. Use AI for what rules can’t read, such as the free text in a form or email. Have a model classify fit and intent into fixed categories with structured outputs.
  5. Route: book a call for top leads, send the rest to a nurture sequence, and log everything in the CRM.

Benefits

  • Faster response to high-intent buyers.
  • Consistent qualification across the team.
  • Reps spend time on the right conversations.

Limits and risks

  • Misclassification can drop good leads. Audit a sample every week.
  • Enrichment data can be wrong or outdated.
  • Run the cheap step first. Harrison Chase suggests a lightweight classifier that decides whether a lead is worth an expensive agent run at all (view: Chase).
