How it works

Dan Martell describes a flow he says he runs in almost 90% of his companies: payment adds the client to the CRM, then a personalized welcome email, an intake form, an invite to your support channel, follow-ups only for steps the client hasn’t done, and a kickoff call with a team member (view: Martell). A version you can build:

1. Map today’s onboarding steps and who owns each.
2. Trigger from payment. Stripe sends webhook events that an automation hub can act on, and in live mode retries failed deliveries for up to three days with exponential back-off (checked 2026-10-17). Hubs such as Zapier can start a flow from those events.
3. Create or update the client record. HubSpot’s remote MCP server gives AI tools read and write access to CRM data such as contacts, deals and engagements. Start read-only and add write access once the flow is tested.
4. Automate the welcome, intake and reminders, chasing only what’s missing.
5. Keep the kickoff call human, prepared from the intake answers.
