Send the agreement when a deal is won

Sales, CRM & outreach · Ops & admin automation · checked 2026-10-17

When a HubSpot deal moves to Closed Won, your AI platform reads the deal over HubSpot’s MCP server, prepares the agreement from your SignNow template, and sends it only after you approve. It then logs the signing status as a note on the deal.

Not advice

IonBin provides general information and software comparisons, not tax, legal, accounting or financial advice. Tax and legal rules vary by situation and jurisdiction; consult a qualified professional (CPA, enrolled agent or attorney) before acting.

AI tools can make mistakes. Verify every figure against the original documents and official IRS or state guidance before filing or signing.

Redact Social Security numbers, account numbers and EINs before uploading documents to any AI assistant, and check its data-retention settings. Upload originals only to the filing or signing software.

Requirements vary by state. File through official sources such as the USPTO trademark search and your state’s Secretary of State site.

You approve every agreement before it goes out.

Watch out for

Keep the human approval step: You approve every agreement before it goes out.

Starter prompt

Goal: Remove the lag between a verbal yes and a signed agreement. Tools involved: HubSpot, SignNow, Make (alternative). Your part: returns the closed won deal with its contact and amount; creates the agreement from your template and pre-fills the deal fields (create_from_template, update_document_fields); sends the invite and reports its status (send_invite, get_invite_status). Work step by step, show me each draft or proposed change, and wait for my approval before anything is sent, published, signed, filed or changed in a live system.

Computed from the MCP and API steps only: "Confirmed" needs the tool's docs to name the platform and the platform to support the connection. Browser, upload and human steps work from any platform.

What we checked

  • HubSpot MCP reads CRM records, including deals and contacts, and can create and edit records and activities such as notes and tasks. If your account has Sensitive Data turned on, activity data (including notes) is blocked through the MCP server.
  • SignNow MCP creates a document from a template, pre-fills text fields, gives you a read-only preview, sends invites and reports invite status. SignNow says send_invite is designed for confirmed sends, after you’ve seen the preview and confirmed recipients.
  • Make. If you’d rather not ask an agent each time, Make has HubSpot CRM Watch Deals and Update a Deal modules, and SignNow Create a Document from a Template, Send an Invite to Sign and Watch Events. We haven’t tested that scenario end to end, and you need to add your own approval step before the send.

Set it up

  1. Keep an attorney-reviewed agreement in SignNow as a template.
  2. When a deal closes, ask the agent to prepare the agreement from the deal and show you the preview.
  3. Approve the send, then ask the agent to log the status on the deal.
