Question

How should we organize AI projects so the context is always there?

Verified Oct 17, 2026 Review by Jan 15, 2027 4 sources
Short answer

Create one project per ongoing decision or workstream, not per person: a client account, a product launch, a hiring round. Put the briefs, files and constraints inside so nobody re-explains the situation. Then control who can see each project, because a shared project with salaries or contracts in it is a data leak waiting to happen.

What it is

Claude Projects, ChatGPT Projects and Gemini Notebook let you attach files and instructions to a workspace that every chat inside it can use. Dan Martell compares a project to a room where everything about the work is already up on the wall: the blueprint, the vendors, the decisions still to make.

How it works

  1. One project per decision area, with a short instruction file: goal, audience, constraints, definition of done.
  2. Add only load-bearing files. Briefs, current data, prior decisions. Archive what’s stale; old files compete with new ones.
  3. Use the project to brief people too. A new teammate can read the same files and ask the project questions.
  4. Set access per project. Share with the team that needs it, not the whole company. In Claude, project sharing is a Team and Enterprise feature; in ChatGPT, shared projects use project-only memory and every member can view and download the files (checked 2026-10-17).
  5. Keep the master copy outside the AI tool, in Google Drive, Notion or GitHub, and refresh the project from it.

Benefits

  • Better answers on the first try, because the context is already there.
  • Faster handoffs between people and between tools.

Limits and risks

  • Sensitive data. Check your plan’s data terms before uploading contracts, salaries or client data. See is it safe to put client data into AI?.
  • Vendor-specific containers. The buttons move; the habit of per-decision context is what lasts.
  • Stale projects mislead. Give each project an owner and a review date.
