Question

How do I give an AI agent memory of our business?

Verified Oct 17, 2026 Review by Jan 15, 2027 6 sources
Short answer

Models remember nothing between requests. Any "memory" is information the product stores and sends back. Give agents an organised, indexed store: one folder or workspace per area, a short index page, and dated decisions. Then point each new tool at it. A tidy store matters more than which model reads it.

What it is

Agent “memory” is a filing system the agent can read, not something inside the model. Christopher Penn makes the architectural point plainly: every memory effect in generative AI is something built around the model.

How it works

  1. Separate by area. Dan Martell compares a project to a dedicated room in your office for one area of work (view: Martell).
  2. Index it. Penn compares unindexed memory to a library with no card catalog: you stop going because you can’t find anything (view: Penn). Keep a short index page per area.
  3. Date and tag decisions so the agent can tell current guidance from superseded guidance.
  4. Connect it through a connector or MCP (see Notion and Google Workspace).
  5. Feed it automatically from meeting notes and records, for example with Fireflies.

Benefits

  • No re-explaining. Each conversation starts informed.
  • Model-agnostic. Martell argues that one store gives a company a head start with every new AI tool, because the context is already in one place (view: Martell).

Built-in app memory (checked 2026-10-17). ChatGPT’s memory can draw on past chats, saved memories and connected apps, depending on plan. On Claude Team and Enterprise plans, owners decide whether memory is available, and each member turns it on. App memory is personal and opaque, so keep shared business facts in the store instead.

Limits and risks

  • Stale memory misleads. Archive outdated pages and keep the index current.
  • Access control. An agent that reads everything can leak everything. Scope its access per area.
  • Untested prediction. The claim that documentation discipline beats tool spend is reasonable but unmeasured.
