Answer SOP questions from approved SharePoint knowledge

SOPs & process documentation · Ops & admin automation · checked 2026-10-18

Use Microsoft Copilot Studio with a scoped SharePoint source, authenticated users and a reviewed question set. Check both answer quality and permission boundaries before people rely on the assistant. Documentation supports the pattern; a tenant deployment has not been tested here.

Goal

Produce a source inventory, permission test record and reviewed answers for an internal knowledge assistant.

Connects through: Built-in integration

Steps

  1. Knowledge owner

Choose approved, current SOPs and identify who may read each source

    Human stepConfirmed
  2. Microsoft Copilot Studio

Add a scoped SharePoint site as a native knowledge source for the standard-harness agent

Documented capability; source upload and SharePoint site grounding are different methods.

  3. Administrator and test users

Configure authentication, then run and review permission, unanswerable-question and citation checks in the intended channel

Human acceptance step requiring the actual tenant, licenses and identities; not a completed IonBin test.

  4. Knowledge owner and administrator

Approve the answer evidence, source access and publishing configuration

    Human stepConfirmed

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

The knowledge owner accepts the answers and sources; the tenant administrator accepts access, licensing and channel configuration before release.

Watch out for

A successful administrator test does not establish what an employee can access. Test each permission level and inspect citations.

Starter prompt

Answer this procedure question using only the approved SharePoint sources available to me. Cite the supporting source for each operational instruction. If the sources do not establish the answer, say what is missing and direct me to the knowledge owner.

Which AI platforms can run it

PlatformStatusWhy
Microsoft Copilot Studio Confirmed This recipe is scoped to Microsoft Copilot Studio. Its native connection is documented; human acceptance checks remain part of the method. This is not IonBin testing.

This recipe is limited to the named platform above. Confirmed describes its documented connection and proposed human steps, not a completed IonBin deployment test.

Prepare the knowledge

Choose one bounded SOP collection and give it a named owner. Remove obsolete duplicates from the approved source scope, mark effective dates and record the source for each expected answer. Start with procedures whose consequences and review needs are understood.

This workflow covers the standard harness and the integrated SharePoint knowledge source. Confirm the supported file types and limits for that source method. The file/folder upload path is a separate option with different behavior; do not copy its limits into this setup. A trial supports authoring and testing, but publishing needs eligible licensing and capacity.

Configure and verify access

Use the intended authenticated channel. Native SharePoint grounding runs in the signed-in user’s context. Anonymous access, restricted tenant search and protected files can prevent retrieval. Grant only the existing access the job needs; do not broaden a source’s permissions to make a test pass.

For a bounded SOP assistant, disable web search and general-knowledge answering where supported. Prompt instructions alone do not define the retrieval boundary. Check topic-level source overrides as well as the agent’s source list.

Run the acceptance set

Create expected outcomes before testing. Use at least two actual user roles with different access, and record the result for each question:

Case What the owner should inspect
Current procedure, accessible source Correct steps and a citation that the user can open
Procedure available only to another role No restricted passage, document title or useful hint leaks
Missing or contradictory procedure A clear limitation or escalation, without invented instructions
Old and new versions The current approved procedure is used
Protected or unsupported file Failure is visible; the assistant does not invent the missing content
User permission changed The published channel reflects the intended access after the change

Review the actual conversation logs and their access controls. Microsoft’s agent-level and topic-level SharePoint pages describe transcript content differently, so do not promise that source excerpts are absent from logs without checking your configuration.

Keep the test record with the source inventory. Repeat it after a source, permission, authentication or agent change. Release only after the knowledge owner and administrator accept the evidence.

Evidence: official documentation checked October 18, 2026. The acceptance cases are IonBin’s proposed method; no tenant, user-access or answer-quality test was performed for this page.
