Start with an approved SharePoint source set, authenticated users and an acceptance test for answers and access boundaries. Microsoft Copilot Studio supports native SharePoint grounding in its standard harness. Verify the tenant, license, source method and channel before treating a successful demo as a usable internal assistant.
Identify the job, the people allowed to ask and the approved procedures that should answer it. Prefer a small maintained collection to a whole tenant. The assistant cannot fix contradictory SOPs or an access policy that already exposes too much.
Use the Microsoft Copilot Studio record to distinguish the platform from a generic model subscription. Site grounding and file/folder upload are different source methods. Verify the selected path against current Microsoft documentation, including supported formats, authentication, licensing and channel limitations.
The site URL covers its registered location and subfolders, not parent or sibling locations. Links inside a document are not automatically added as knowledge sources. Microsoft documents permission trimming for signed-in users, but that cannot repair existing oversharing.
Do not treat a knowledge connection as an action permission. Reading an SOP should not itself authorize the agent to carry out the procedure or write into another system.
The useful outcome is a faster route to an approved procedure and its evidence. Keeping source ownership and a repeatable test set gives the knowledge owner a practical way to find gaps and assess changes.
Check the actual channel and protection settings: automatic Microsoft authentication for Teams is documented for 1:1 chats, not group or channel messages. Restricted SharePoint Search blocks this knowledge path. Encrypted sensitivity labels, Double Key Encryption and password protection can prevent grounding even when a source displays Ready and the user can open it.
Ask procedure questions with known answers, missing-answer questions, and questions whose sources are restricted to a different role. Evaluate the cited evidence, not just fluent wording. Test as ordinary users; an administrator’s successful answer is weak evidence about employee access.
The SharePoint knowledge workflow provides the acceptance cases and release gate. It is documentation-backed and awaiting a hands-on tenant test. No IonBin service availability is implied.
