Onboard a new hire or contractor

Ops & admin automation · SOPs & process documentation · checked 2026-10-17

When a hire is added in Deel, Gusto or Rippling, your AI platform reads their details through that tool’s MCP server (Gusto in its own session), creates onboarding tasks in ClickUp and drafts a welcome email for the manager to send.

IonBin provides general information and software comparisons, not tax, legal, accounting or financial advice. Tax and legal rules vary by situation and jurisdiction; consult a qualified professional (CPA, enrolled agent or attorney) before acting.

AI tools can make mistakes. Verify every figure against the original documents and official IRS or state guidance before filing or signing.

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

The manager sends the welcome email.

Keep the human approval step: The manager sends the welcome email.

Starter prompt

Goal: Give every new teammate a smooth first week. Tools involved: Deel, Gusto (alternative), Rippling (alternative), ClickUp. Your part: returns the new hire’s or contractor’s details (for example through getlistofpeople); returns people data and can start onboarding an employee or contractor; returns employee data within the user’s rippling permissions. Work step by step, show me each draft or proposed change, and wait for my approval before anything is sent, published, signed, filed or changed in a live system.

What we checked

  • Deel MCP exposes Deel API operations as tools at organization, worker and public permission levels. getListOfPeople, for example, needs organization-level scopes.
  • Gusto MCP brings live payroll and people data into AI tools and can onboard an employee or contractor. Every write comes back to you for confirmation. Gusto warns against unverified clients and asks you to keep manual confirmation on for all tool use. It also asks you to use the Gusto MCP server in isolation, with no other MCP servers connected to the same client session. If you use Gusto, run this in two sessions: read the hire’s details in a Gusto-only session, then paste the name, start date and manager into a separate session connected to ClickUp.
  • Rippling MCP is on by default for every company, but its tools need an active Rippling AI subscription and an access assignment from a super admin, full admin, or an admin with the Manage MCP Gateway permission.
  • ClickUp MCP is on all plans and handles tasks with assignees and due dates.
  • No automatic trigger here. This page runs when you ask the agent after adding the hire. We didn’t check new-hire triggers in each HR tool.

Set it up

  1. Keep an onboarding template in ClickUp: accounts, equipment, first-week meetings.
  2. After adding the hire, ask the agent to copy the template with their name, start date and manager.
  3. The manager checks the tasks and sends the welcome email.
