Question

How do I get clean, structured data out of AI?

Verified Oct 17, 2026 Review by Jan 15, 2027 4 sources
Short answer

Define the exact fields you want as a schema and use the vendor's structured-output or JSON mode, so the reply arrives as data your spreadsheet, CRM or automation can read. Validate values before saving, and keep a human check for anything that feeds billing or customer records.

What it is

Teams often need AI to extract fields from emails, PDFs, call notes or web pages. Free-text answers break automations, and structured outputs fix that. OpenAI, Anthropic and Google all document schema-based options (checked 2026-10-17).

How it works

  1. List the fields, types and allowed values, for example company, deal size and next-step date.
  2. Write them as a JSON Schema and pass it with the request. Google’s SDKs also let you define schemas with Pydantic (Python) or Zod (JavaScript).
  3. Parse the response and validate it: dates are dates, totals add up.
  4. Send records that fail validation to a review queue.

Benefits

  • Automations stop breaking on formatting quirks.
  • Data lands directly in the systems you use.
  • Works at volume with batch processing.

Limits and risks

  • A correct format isn’t correct content.
  • Ambiguous source documents produce guesses. Allow a null value so the model can say a field is missing.
  • Schema support differs by vendor and model.
  • Keep a human check for anything that feeds billing or customer records.

Best-fit stacks

Stack 02

Business data & reporting

Pull numbers from the systems you already use into one place an agent can analyze and explain.

Stack 06

Ops & admin automation

Hand repeat admin (receipts, logs, notices, handoffs) to workflows your agent can trigger.

Agent compatibility

Not tool-specific. See Agent-ready for connector support by tool.

Levels come from each tool's recorded, sourced compatibility. How the levels work.
