Need

Roll out AI to a small team

Verified Oct 17, 2026 Review by Apr 15, 2027 6 sources
Short answer

Pick one approved assistant, write a one-page policy, train people on three real tasks, and name an internal champion. Measure time saved on those tasks after a month, then expand. Adoption fails more often from vague goals than from the wrong tool.

What it is

Rolling out AI means moving a team from scattered personal use to consistent, safe, useful work with approved tools. Most of the effort is choosing, training and measuring, not buying.

How it works

  1. Choose a standard assistant (see choosing an assistant), on a business plan if staff will handle client data. ChatGPT Business starts at 2 users, and Claude Team covers teams of 2 to 150 (checked 2026-10-17).
  2. Publish an AI use policy.
  3. Run a hands-on session on three tasks people do every week, and share the prompts and SOPs that worked.
  4. Name an internal champion who collects questions and wins.
  5. Review results after 30 days and decide what to scale. NIST’s AI Risk Management Framework, a voluntary framework, is a useful checklist as use grows.

Benefits

  • Consistent quality and data handling.
  • Faster learning across the team.
  • Clear evidence for further investment.

Limits and risks

  • Consumer and business plans have different terms. For personal ChatGPT accounts, OpenAI may use chats to improve its models while the “Improve the model for everyone” setting is on; by default it doesn’t train on ChatGPT Business, Enterprise or API data (checked 2026-10-17). Check before staff paste in client data.
  • Training once isn’t enough. Share wins regularly.
  • Fear of replacement creates resistance. Be clear about intent.
  • Expect a learning curve. Ethan Mollick notes that earlier transformational technologies were harder for everyday people to use (view: Mollick); AI is easier to start with, but good use still takes practice.
  • Measure honestly. Self-reported time savings are rough.
