Prepare a recording library for retrieval

Document & knowledge preparation · SOPs & process documentation · checked 2026-10-18

Create reviewed transcripts, useful timestamps and a controlled index from authorized recordings. Check transcription and speaker labels before using the text as evidence.

Goal

A transcript collection with source IDs, corrections and access restrictions.

Steps

  1. Owner

Select authorized recordings and verify the chosen transcription service settings.

    Human stepConfirmed
  2. Transcription service

Submit authorized audio using the documented API and save its response.

    APIConfirmedSource ↗
  3. Reviewer

Compare the returned transcript with audio and correct important errors.

    Human stepConfirmed
  4. Editor

Index approved transcripts with source and access metadata.

    Human stepConfirmed

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

A responsible person checks the source evidence and approves the output before it is used or shared.

Watch out for

Speaker labels and plausible transcripts still require checks against the recording.

Starter prompt

Create index tags and a short summary from this reviewed transcript. Preserve source IDs and timestamps; distinguish quotations from editorial summaries.

Which AI platforms can run it

PlatformStatusWhy
Claude (incl. Claude Code) To verify Transcription service: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
OpenAI Codex To verify Transcription service: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
Google Antigravity To verify Transcription service: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
ChatGPT To verify Transcription service: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
Gemini To verify Transcription service: verify the API caller, network access and credentials; platform code execution alone does not establish this connection
Perplexity To verify Transcription service: verify the API caller, network access and credentials; platform code execution alone does not establish this connection

Readiness considers the connection evidence and unresolved steps. Confirmed: documented access and the proposed steps meet the recorded requirements. MCP and API pairings require an explicit reviewed platform note; a named plugin or CLI alone does not confirm MCP. Inferred: an explicit page note describes a plausible pairing that still needs testing. To verify: a connection or step is unresolved. An API and code execution alone do not establish compatible network access, credentials or permissions. None of this is IonBin testing.

Prepare a bounded collection

Start with recordings you are authorized to process and use. Confirm consent and organizational requirements before transcription. Assign each recording a stable ID and record its date, owner, permitted audience and retention rule. Test a short sample containing the kinds of names, numbers and background noise present in the collection. Check the transcription account’s data terms before sending files.

Review the transcript

Compare the result with the audio, concentrating on decisions, amounts, names and action items. Mark inaudible sections instead of inventing words. Speaker diarization suggests who spoke when; a speaker label is not verified identity. Keep timestamps that let a reviewer jump back to the relevant passage, and record material corrections with the source ID.

Index the accepted text

Add a concise description, topic tags and access restrictions to the reviewed transcript. Separate an editor’s summary from the transcript itself. Test retrieval with a few questions whose answers are known and one that cannot be answered from the collection. A search hit should lead back to the recording or checked transcript. This is a manual preparation recipe; it does not claim an automatic Deepgram-to-Notion integration or verified accuracy for a particular recording.
