Redact documents before AI review

Document & knowledge preparation · checked 2026-10-18

Prepare a separate working copy, remove unnecessary sensitive fields and inspect the exported result before giving an assistant access. Keep originals in their controlled location.

Goal

An inspected working copy and a record of what was removed and why.

Steps

  1. Owner

Identify the minimum material needed and prepare a working copy.

    Human stepConfirmed
  2. Reviewer

Inspect visible text, extracted text and metadata in the final export.

    Human stepConfirmed
  3. Assistant

Work only from the approved redacted copy.

    AI platformConfirmed

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

A responsible person checks the source evidence and approves the output before it is used or shared.

Watch out for

Visual masking alone may leave searchable text or metadata intact.

Starter prompt

Use only this approved working copy. Preserve placeholders and do not infer or reconstruct identities. Flag missing facts needed for the task.

Which AI platforms can run it

PlatformStatusWhy
Claude (incl. Claude Code) Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
OpenAI Codex Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
Google Antigravity Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
ChatGPT Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
Gemini Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.
Perplexity Confirmed No platform-specific connection: the steps run in the tools themselves (browser, upload or built-in), with documented capabilities and human review steps. This is not an end-to-end test.

Readiness considers the connection evidence and unresolved steps. Confirmed: documented access and the proposed steps meet the recorded requirements. MCP and API pairings require an explicit reviewed platform note; a named plugin or CLI alone does not confirm MCP. Inferred: an explicit page note describes a plausible pairing that still needs testing. To verify: a connection or step is unresolved. An API and code execution alone do not establish compatible network access, credentials or permissions. None of this is IonBin testing.

Minimize the task first

Define what the assistant must do and which facts it actually needs. Remove entire irrelevant sections before attempting field-by-field redaction. Keep the original in its existing controlled location and create a separate working copy. Decide whether names should be replaced with stable placeholders so references remain understandable without exposing identities.

Inspect the actual export

Use a document editor with appropriate redaction capabilities; a black rectangle over text is not necessarily removal. Inspect the exported copy, searchable text, comments, attachments and metadata. Docling can help inspect extracted text, but it is not a certified redaction tool and does not prove that hidden content is absent. Search for known sensitive strings and have a second person review a sample containing difficult layouts.

Release only the needed copy

Check the assistant’s account, data terms and access scope before uploading. Do not include a private re-identification key in the same prompt or collection. Save a brief record of the review and the permitted purpose. If the task cannot be done safely with a minimized copy, use an approved alternative or stop for a data-owner decision. This proposed procedure reduces unnecessary exposure; it is not a guarantee of anonymization or regulatory compliance.
