Find help-article gaps from Help Scout conversations

Customer support · SOPs & process documentation · checked 2026-10-18

Claude searches last month's Help Scout conversations through the read-only MCP server and lists questions your Docs site doesn't answer well. You write or update the articles.

Goal

Cut repeat questions by fixing the help articles customers actually need.

Steps

  1. Help Scout

Returns last month's conversations through Help Scout's read-only MCP server

    MCPConfirmedSource ↗
  2. Claude

Groups repeated questions and notes which ones have no clear help article

    AI platformConfirmed
  3. You

Pick the gaps worth fixing and write or update the articles yourself

    Human stepConfirmed

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

Claude only reads. Article changes are written and published by you.

Watch out for

Conversations include personal details, so keep them out of your notes and link to the conversation instead. On HIPAA-enabled accounts, Help Scout says its business associate agreement doesn't cover your AI provider, so check that before connecting.

Starter prompt

Using the Help Scout MCP server, search conversations from the last 30 days. Group the questions customers asked more than 3 times and, for each group, say whether an existing Docs article answers it. List the top 10 gaps with example conversation links. Leave out customer names and email addresses.

Which AI platforms can run it

PlatformStatusWhy
Claude (incl. Claude Code) To verify Help Scout: MCP pairing needs route-specific evidence; a named plugin or CLI does not establish it
OpenAI Codex To verify Help Scout: MCP pairing needs route-specific evidence; a named plugin or CLI does not establish it
Google Antigravity To verify Help Scout: MCP pairing needs route-specific evidence; a named plugin or CLI does not establish it
ChatGPT To verify Help Scout: MCP pairing needs route-specific evidence; a named plugin or CLI does not establish it
Gemini To verify Help Scout: MCP pairing needs route-specific evidence; a named plugin or CLI does not establish it
Perplexity To verify Help Scout: MCP pairing needs route-specific evidence; a named plugin or CLI does not establish it

Readiness considers the connection evidence and unresolved steps. Confirmed: documented access and the proposed steps meet the recorded requirements. MCP and API pairings require an explicit reviewed platform note; a named plugin or CLI alone does not confirm MCP. Inferred: an explicit page note describes a plausible pairing that still needs testing. To verify: a connection or step is unresolved. An API and code execution alone do not establish compatible network access, credentials or permissions. None of this is IonBin testing.

What we checked (2026-10-18)

  • Read-only MCP. Help Scout’s MCP server at mcp.helpscout.net/mcp connects Claude, ChatGPT and other clients. New connections are read-only, and each team member signs in separately.
  • Plan requirements. The server needs API access, which Standard, Plus and Pro include. Report tools need a higher plan.

Set it up

  1. Connect Help Scout in Claude with your own Help Scout login.
  2. Run the prompt above at the start of each month.
  3. Check each gap against your Docs site, since search can miss an article with different wording.
  4. Write or update the articles, then check next month whether those questions dropped.
  5. Share the gap list with whoever owns the product area. Some gaps are product problems, not missing articles.

Pilot it on a small sample first, and keep the human step even when the output looks right. This is a proposed sequence based on documented tools, not a tested account integration.
