Write a policy brief grounded only in your documents

Research & market intelligence · SOPs & process documentation · checked 2026-10-17

Load your contracts, handbooks or regulations into a Gemini Notebook so answers cite only those sources. Ask for a brief with citations, check each one, then move the final version into Google Docs for comments.

Not advice

IonBin provides general information and software comparisons, not tax, legal, accounting or financial advice. Tax and legal rules vary by situation and jurisdiction; consult a qualified professional (CPA, enrolled agent or attorney) before acting.

AI tools can make mistakes. Verify every figure against the original documents and official IRS or state guidance before filing or signing.

Redact Social Security numbers, account numbers and EINs before uploading documents to any AI assistant, and check its data-retention settings. Upload originals only to the filing or signing software.

Requirements vary by state. File through official sources such as the USPTO trademark search and your state’s Secretary of State site.

4You Paste the checked brief into Google Docs for review Human step Confirmed

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

You check every citation before sharing.

Watch out for

A grounded answer can still misread a clause. For legal or financial documents, have a qualified person review it; this is not legal advice.

Starter prompt

Using only these sources, write a two-page brief on {topic}: what the documents require, where they conflict, and open questions. Cite every claim.

Written for this workflow. Paste it into your AI platform and adjust it to your situation.

What we checked (2026-10-17)

Gemini Notebook, formerly NotebookLM, answers from the sources you add. Google lists supported source types including PDF, Word, text and Markdown files, Google Docs, Slides and Sheets, web URLs and public YouTube videos. On the free Standard plan a notebook holds up to 50 sources and you can create 100 notebooks; paid Google AI plans raise those limits, which Google says are subject to change. Google’s Workspace page describes summaries with citations for verification. A grounded answer can still misread a clause, so the citation check is the part that makes this safe to share.

Set it up

  1. Create a notebook and add only the documents the brief should rely on.
  2. Ask for a brief that answers your specific questions, citing a source for every claim.
  3. Open every citation and correct anything misread or taken out of context.
  4. Paste the checked brief into Google Docs and ask a qualified reviewer to comment before it is used.

This workflow is for organizing documents. It isn’t legal advice.
