Keep a compliance and filings calendar

Ops & admin automation · SOPs & process documentation · checked 2026-10-17

Track entity filings, renewals and policy reviews in Notion; your AI platform drafts reminders and prep checklists. You or your advisor confirm each deadline and file, directly or through a filing service such as LegalZoom.

Not advice

IonBin provides general information and software comparisons, not tax, legal, accounting or financial advice. Tax and legal rules vary by situation and jurisdiction; consult a qualified professional (CPA, enrolled agent or attorney) before acting.

AI tools can make mistakes. Verify every figure against the original documents and official IRS or state guidance before filing or signing.

Redact Social Security numbers, account numbers and EINs before uploading documents to any AI assistant, and check its data-retention settings. Upload originals only to the filing or signing software.

Requirements vary by state. File through official sources such as the USPTO trademark search and your state’s Secretary of State site.

Confirmed means the vendor documents it (linked). It doesn't mean IonBin has tested it. AI-platform and human steps need no source.

Human approval

You or your advisor confirm every deadline and own every filing.

Watch out for

Keep the human approval step: You or your advisor confirm every deadline and own every filing.

What we checked

  • Notion MCP lets an AI platform search, read, create and update Notion pages and databases, so it can keep a filings database current and draft a checklist page for each deadline.
  • LegalZoom’s connector works in AI clients that offer it. LegalZoom lists capabilities for comparing entity types and formation packages, attorney assistance, researching preliminary state-level business license requirements, trademarks, legal templates and document review. Annual-report filing isn’t in that list. LegalZoom sells annual report and compliance services on its site, so filing through LegalZoom is something you do yourself, not the agent.
  • Deadlines. We don’t list deadlines here: they depend on your entity type and where it is registered. Requirements vary by state. Take each date from the filing office or your advisor, not from an AI answer.

Set it up

  1. Create a Notion database with entity, filing, due date, owner and status.
  2. Ask the agent to draft a prep checklist and a reminder for each row 30 days out.
  3. Confirm each date yourself, then file or hand it to your advisor.
